As a Client Service Advisor, you have a vital role in assisting our clients. Your expertise ensures smooth account operations and establishes you as a friendly and dependable point of contact for all their account-related needs. Our dedicated Client Service Advisors are committed to delivering exceptional support and consistently going above and beyond to exceed client expectations.

Responsibilities

  • Plan and organize client review meetings with meticulous attention to detail and thorough preparation.
  • Handle and respond to client service calls promptly and efficiently.
  • Collaborate closely with various custodians and insurance carriers to efficiently handle and fulfill client service requests.
  • When necessary, ensure the completion of client service requests by preparing and processing the required paperwork.
  • Facilitate the preparation and processing of paperwork for opening advisory accounts, insurance policies, and annuity policies efficiently and effectively.
  • Effectively handle suitability reviews and other notifications related to new accounts proactively.
  • Oversee the underwriting process for new insurance policies, including:
    • Requesting and ensuring prompt delivery of medical records, as well as conducting necessary follow-up procedures.
    • Communication with BGA and carriers for status updates and negotiation.
  • Utilize our paperless filing system.
  • Throughout the day, diligently document and process actions using the company's CRM system, SmartOffice.
  • Account maintenance for clients:
    • Assist in obtaining, updating, and maintaining client data/information through appropriate custodian and internal computer systems.
    • Add features such as options, margin, aggregate/multi-margin, check writing, debit cards, eDelivery, Moneylink, view-only authorizations, etc.
    • Update designated beneficiaries.
    • Add POAs & DPOAs.
    • Assist with transferring and rolling over accounts from external firms, as well as checking the transferability and acceptance of assets.
    • Ensure all agreements and questionnaires are up to date.
  • Initiate and track asset/money movements including, journals, EFTs, ACATs, charitable giving, wires, DTCs, check withdrawals, etc.
  • Assist clients regarding their login requests.
  • Monitor custodian alerts and resolve issues.
  • Regularly track the progress of all tasks and provide necessary follow-up to ensure their timely completion.
  • Troubleshoot client service-related issues as needed.
  • Assist with special projects as required.

Requirements

  • Bachelor’s degree preferably in business, accounting, finance, economics, or related experience.
  • Continuously exhibits personal integrity and professional initiative
  • Reliable, follows through on commitments, does not shrink from new challenges.
  • Familiar with Microsoft Office
  • Experience with CRM, portfolio management, and document management software (preferred).
  • Must be organized, detail-oriented, and able to multitask.
  • Demonstrates a commitment to accuracy by delivering high-quality work.
  • Exhibits a desire to exceed expectations.
  • Excellent written and verbal communication.
  • Collaborative and able to work effectively with others.
